Full Job Description

Objective: 25+ Attorney Chicago loop law firm seeks a Firm Administrator/ Office Manager to guide and oversee the firm's business operations, including human resources, IT, facilities, and marketing. The Firm Administrator/ Office Manager will supervise the firm's non-attorney staff and serve as a liaison between the employees and the Members. The position reports to the firm's Members and participates in additional management committees in specific functional areas. Strong interpersonal and communication skills are required. Day-to-day administrative and management responsibilities include collaborating with Members and other Managers to identify and deliver needed administrative support operations, including:

Human Resources

  • Manage, recruit, hire, and train all non-attorney staff;
  • Ensure optimal staffing to balance coverage needs and efficiency;
  • Prepare for and/or participate in annual reviews of non-staff and attorneys;
  • Maintain, communicate, and enforce office policies and procedures;
  • Oversee benefits administration including retirement plan and insurance benefits;
  • Ensure compliance with applicable HR laws, regulations, and requirements.

Finance

  • Works closely with the Bookkeeping/Accounting staff and/or consultants to maintain efficient processes and procedures to maximize firm profitability;
  • Assist with management of office budgets related to operating expenses, capital expenditures, projects, and compensation.

Information Technology

  • Works closely with the IT vendor to evaluate and enhance existing and future computer and telecommunications hardware and software systems needed for legal technology, business operations, cybersecurity, and data privacy;
  • Maintain directory/database of available software programs for ease of use and reference by firm.

General Administration and Facilities Management

  • Oversee quotes and renewal of firm insurance policies;
  • Manage facilities, including space/planning/design, vendor contracts and relations with landlord;
  • Support attorney recruiting;
  • Supervise and/or coordinate event planning to support firm operations and morale, marketing and recruiting;

Education and Experience

  • Bachelor's degree preferred but not required;
  • 5+ years of experience in administration or office management, including 5 years in a supervisory capacity;
  • Law firm or professional services experience a plus.

Required Skills

  • Current knowledge of laws, regulations and best practices in insurance, employment law, human resources and talent management;
  • Expertise with Microsoft Office suite (Word, Excel and Outlook);
  • Familiarity with Juris and Zoom (and other online meeting platforms) helpful but not required;
  • Demonstrated strengths in verbal and written communications, conflict resolution, organization, problem-solving, supervision, confidentiality, and leadership;
